The Department of Medicine, Division of Cardiology has an opening for a full-time University Staff (unclassified) Education Manager position.

Nature of Work :

The Division of Cardiology in the Department of Medicine is looking for a creative, innovative individual to direct, manage, and evaluate the fellowship programs in the Division of Cardiology. This is a full-time exempt professional position located at the AMC campus. On behalf of the Fellowship Program Directors, individual will perform managerial duties as related to planning, directing, and coordinating academic, operational, and financial activities of the fellowship programs; assisting in the development of program educational and administrative goals and objectives; developing the mapping of the fellowship programs structure; and providing sound guidance and advice on other pertinent fellowship program issues.

The position will provide high-level management and oversight for all educational duties and systems. The position will prepare, review, and analyze all divisional educational goals; work closely with Directors, Managers, Supervisors, and Mentors concerning policy and procedures; develop effective working relationships with other departments such as Graduate Medical Education, Procurement, and external entities; assume a leadership role in the Fellowship Programs; and manage a variety of special projects as assigned.

Additionally, this position will oversee and help manage the coordination of all aspects of CME Division conferences including but not limited to: developing and managing conference and educational grant budgets, generating and tracking all necessary paperwork for CME approval; working closely with Directors and contractors to develop policies and procedures to ensure all conferences are in compliance with University policies; and overall management and execution of conferences from start to finish.

Reports to and works closely with the Research Services Manager of the Division of Cardiology.

Supervision Exercised

This position helps train and oversee the work of one Academic Services Professional who will assist in supporting the Cardiology fellowship operations.

Examples of Work Performed:

Fellowship Program Functions

  • Directos all program operational activities, creates program goals and and ensures that goals and objectives are accomplished

  • Provides direction to fellows on program policies and procedures

  • Create/updates program policies as needed and as GME office policies change

  • Manages and implements all ACGME and GME policies and procedures at the division level to ensure accreditation of fellowships

  • Manages all aspects of the annual rotation schedule and changes including entering and updating in MedHub

  • Partners with program directors for faculty development and continuous quality improvement

  • Acts as the main point of contact between Fellows and Division and other constituents, including GME, department, clinics, patients, visitors, and others.

  • Ensures fellows compliance with medical and controlled substance Licenses, DEA number, BLS/ACLS/PALS, USMLE/ TB test, flu shot, N95 respirator mask fitting, and computer training requirements.


  • Manage all aspects of fellowsip evaluations in MedHub.

  • Direct operations related semi-annual fellows reviews with program directors and associate program directors, including preparation and portfolio review

  • Manage the exiting process for all fellows.

Fellow Recruitment

  • Oversee all aspects of onboarding new fellows by working with the Graduate Medical Education office and collecting and submitting all necessary paperwork for fellows to rotate through three different hospitals

  • Manages the annual fellowship interview process. This includes processing of applications through the Electronic Residency Application Service (ERAS) program, collaborate with faculty to review and screen candidates, and oversee the operations for interview dates.

  • Directs the process for determining applicant eligibility including program selection policy, Educational Commissions for Foreign Medical Graduates (ECFMG) and visa requirements.

Program Accreditation

  • Serves as the division primary contact and SME for all ACGME specialtys program requirements and interpretations

  • Manages the annual ACGME program and fellows update process and ensures annual compliance is in place and maintained.

  • Manages data for ACGME Next Accreditation System (NAS)

  • Serves as a SME in ACGME site visits


  • Develop, manage and reconcile the financial operations for all aspects of fellowship division budget.

  • Manage the fellowship procurement process by ensuring accurate allocations of expenses, adherence to school and division procurement policies, and appropriate use of funds.

  • Creates and implements travel and procurement policies and procedures in relation to managed events

Minimum Qualifications:

  • A bachelors degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, library science, or a directly related field from an accredited institution.

  • Three (3) years of experience supporting a fellowship program, residency program, and/or graduate medical education.

Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelors degree on a year for year basis, but not for the specific 2 years of experience.

Preferred Qualifications:

  • Four (4) or more years of experience working with fellowship programs and/or graduate medical education in a health care setting or a closely related field.

  • Experience with computer programs related to Fellowship needs, such as MedHub or Electronic Residency Selection System (ERAS).

  • Experience administering new employee orientations and presenting information to large and small groups.

Salary and Benefits:

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The salary range (or the hiring range) for this position begins at $49,606-$63,098 and is commensurate with skills and experience.
